1. Who we are

Tenancy Tidy is a cleaning business based in Sidcup, run by Leanne Homans, a sole trader trading as Tenancy Tidy. Leanne is the "controller" of your personal information, which means she decides how it is used and is responsible for looking after it. In this policy, "we", "us" and "our" mean Leanne Homans trading as Tenancy Tidy.

Contact us about anything in this policy:

  • Email: tenancytidy@gmail.com
  • Phone or WhatsApp: 07725 510809
  • Area: Sidcup, London Borough of Bexley

2. What information we collect

Depending on how you deal with us, we may hold:

  • Contact details: your name, phone number, email address and, for business customers, your business name and job title.
  • Property and job details: the property address or postcode, property type and size, the service you want, preferred dates and times, and anything you tell us about the property (for example parking or the condition it's in).
  • Access details: how we get in, such as key collection arrangements, key safe or alarm codes, concierge or agent contacts, and who will let us in. We only ask for what we need for the job.
  • Messages and calls: the content of emails, WhatsApp messages and form submissions you send us, and notes of phone calls.
  • Job records: quotes, bookings, checklists, completion reports and photos of the property taken as part of the job (we photograph rooms and surfaces, not people).
  • Payment records: deposits, invoices and payments received. We don't store card details.
  • Website data: like all websites, our web host may automatically log basic technical information (such as your IP address, browser type and the page requested) to keep the site running and secure. See section 11.

We don't ask for sensitive information such as health details. If you choose to tell us something like this (for example an access need), we'll only use it to carry out the job the way you've asked.

3. How we get your information

  • From you: when you fill in our quote form, email us, message us on WhatsApp or call us.
  • From someone booking on your behalf: for example, a letting agent, landlord or Airbnb host may give us a tenant's or guest's name and number so we can arrange access.
  • From public sources: for business outreach we may use business contact details published on a company's own website or in public business directories (see section 5).

4. How we use your information and our lawful bases

UK data protection law says we must have a valid reason (a "lawful basis") for each way we use your information. Here's what we do and why:

Contacting a tenant or guest to arrange access when an agent, landlord or host has bookedLegitimate interests: carrying out the job our customer has booked, with as little disruption to you as possible.
Invoices, accounts and tax recordsLegal obligation: we have to keep financial records for HMRC.
Dealing with questions, complaints, insurance claims or legal disputesLegitimate interests: running our business properly and protecting our legal position.
Sending you news or offers as an individual customerConsent, or, if you're an existing customer, offers about similar services where you were given the chance to opt out when you booked and in every message. You can unsubscribe at any time.

Keeping the website working and secureLegitimate interests: running a safe, working website.

Where we rely on legitimate interests, we have weighed our interests against yours and only use your information in ways you would reasonably expect. You can object at any time (see section 10).

5. Emails to businesses

We sometimes send short introductory emails to letting agents, Airbnb hosts and co-hosts, block and property managers and other local businesses that may need our services. We do this under our legitimate interests in promoting our business to organisations that are likely to find it relevant.

  • We use business contact details (such as info@ or named work addresses) that are published for business purposes, and we keep messages relevant to your organisation.
  • Under the Privacy and Electronic Communications Regulations, we only send unsolicited marketing emails without prior consent to corporate email addresses (limited companies, LLPs and similar). We won't send unsolicited marketing emails to sole traders or partnerships unless they have agreed or are existing customers.
  • Every email says who we are and includes a simple way to opt out. If you reply "unsubscribe" or ask us to stop, we'll stop straight away and keep only a minimal record (your email address) so we don't contact you again.
